Summary

Part-Time (0.8FTE-1.0FTE), 12-Month Contract

Base salary at full-time equivalent: $90,000-$110,000

At the South Australian Health and Medical Research Institute (SAHMRI), we are committed to achieving innovative, ground-breaking health and medical research that fundamentally improves the quality of life for all people.

The SAHMRI Women and Kids (SWK) Theme aims to improve the health and wellbeing of women and families to enable children to reach their full potential by assisting access to quality health care. Within SWK the Aboriginal Families and Communities Health Research Alliance (ACRA) brings together researchers, Aboriginal community members, policymakers, and service providers to facilitate community-driven, culturally respectful research to benefit the intergenerational health of Aboriginal families and communities.

An exciting opportunity is now available for a highly motivated Executive Assistant to join SAHMRI, supporting the Co-Leads of the Aboriginal Families and Communities Health Research Alliance ACRA. In this position you will work closely with the Co-Leads and assist with achievement of theme wide priorities through the provision of exceptionally well organised secretarial and administrative support.

The position is available as a 12-month contract initially with possibility to extend.


About the role

Key responsibilities include:

  • Confidential diary management
  • Meeting coordination and preparation
  • Managing the administration of grants and submissions
  • Facilitating and managing the process of publication submission
  • Management of grants and publications in PURE for ACRA
  • Organising travel and conference arrangement for the co-leaders
  • Drafting of presentations, strategic documents, publications, newsletters, program statistics and reports
  • Confidential and professional diary management
  • Meeting coordination and preparation
  • Proactively monitor approaching deadlines and follow up action items
  • Academic CV, bio and profile maintenance
  • Generation of professional documentation in Word, Excel and PowerPoint
  • Credit card reconciliations
  • High level administration assistance of projects overseen by the Co-Leaders


About You

The successful candidate will possess the following key attributes:

  • Qualifications in Business Studies / Administration is highly desirable. Experience working with Aboriginal organisations and/or people is preferred. Working in a research environment or exposure to research is essential.
  • Demonstrated success in managing senior executives within similar organisation.
  • Methodical and strong attention to detail
  • Proficient with using Microsoft office applications, particularly Outlook, Word, Excel, PowerPoint, MS Teams and SharePoint.
  • Excellent written and verbal communications skills.
  • Extensive administration experience, including day-to-day financial and record keeping procedures.
  • High level of initiative, integrity and work ethic.
  • Ability to maintain high level of confidentiality.
  • Highly organised and methodical with strong attention to detail.
  • Demonstrated high levels of collaboration with diverse partners and roles
  • Strong understanding of Aboriginal and Torres Strait Islander Culture.


Special Requirements

  • Some out of hours work and interstate travel may be required
